Position Summary

The Clinical Informatics and SER Maintenance Coordinator will provide operational support for the Department of Clinical Informatics.  Responsibilities include working closely with the various departments engaged with the Epic SER database (including IT, HIM, HR, Medical Staff, Finance, and others) to optimize and maintain the database of all clinician information relevant to multiple electronic medical records systems, including Epic, EpicCare Link, and Community Connect.  Additionally, the position will require performing day-to-day activities of the department to include coordinating the daily tasks of multiple executives, assisting with ordering of supplies, and managing other operational needs of department leadership.

This position requires the ability to think critically and function in a fast-paced, layered professional setting, with knowledge of executive assisting, strong attention to detail, and an in-depth understanding of the organization, programs, strategic initiatives and procedures related to the work of the department. A strong sense of urgency, problem solving, and project ownership are essential. The Clinical Informatics and SER Maintenance Coordinator must have the ability to independently multitask and interact with people at all levels of the organization and community while providing exceptional customer service skills via phone and in person.

Minimum Requirements

•        Education & Experience

            Required

            Bachelor's Degree and 0-1 years of operations experience OR

            Associate's Degree and 2-3 years of operations experience OR

            High School Diploma or Equivalent and 4-6 years of operations experience

            Preferred

5-7 years Operations Experience, 2-5 years Executive Assistant experience

Core Job Responsibilities

  • Coordinates the clinical implementation and maintenance of the SER record system in conjunction with various departmental delegates who participate in that process.
  • Makes delegated administrative and procedural decisions and judgments on a regular basis related to physician registration and records maintenance

•        Maintains and controls access to all forms of physician communication through the department such as the Physician Email Distribution List and marketing-related communications

•        Supports Clinical Informatics office operations.  This includes but is not limited to delegated budget management functions and analysis, general office functions (procurement of supplies, receptionist, mail distribution, phone management, preparation and formatting of documents, presentations and reports, maintains tickler system to meet operational requirements, etc.)

•        Assists with distribution and collection of departmental surveys

•        Initiates and submits all check requests for pay disbursements related to the department

•        Administrative support for the department's leadership, including managing daily agenda, coordinating scheduling needs, organizing meetings

•        Provides functional support to assist independent physicians with system access requests

•        Arranges Departmental, SuperUser, and Physician Champion meetings including organizing meetings, directing meeting arrangements, preparing agendas, preparing meeting minutes and supplemental materials

  • Manages and controls confidential and sensitive information using discretion and independent judgment
  • Supports Connect1 Physician Portal onboarding and manages administrative responsibilities associated with ongoing maintenance of end users
